We only process the data we need to deliver our services and to communicate with you. Depending on your contact with us, that can include:

• Contact details: your name, email address and, if you add it, your company name from our contact form or an email.
• Project information: the content of your message, a budget indication and what you are making.
• Client and billing details: data needed for a proposal, an agreement, invoicing and administration if we work together.
• Technical data: limited data your browser sends automatically, such as an IP address, so the website can work and stay secure. We use the country of your connection only to choose the default language of the site. We do not store that country.

We process personal data only for clear purposes, and on a legal basis from the GDPR:

• To reply to your message or enquiry and stay in touch (legitimate interest).
• To prepare a proposal and perform an agreement (performance of a contract).
• To issue invoices and keep our administration (legal obligation).
• To keep the website secure and working, and to show the language that fits your visit (legitimate interest).

We do not use your data for automated decision-making or profiling.

We do not keep personal data longer than needed for the purposes it was collected for:

• Messages through the contact form or email: up to 2 years after the last contact, unless a collaboration follows.
• Data from a project or agreement: for the duration of the collaboration, and afterwards for as long as needed.
• Administration and invoices: 7 years, in line with the statutory tax retention period.

We never sell your data. We only share it with third parties when that is needed for our services or to meet a legal obligation, for example with:

• our hosting, email and software providers that make the website and communication technically possible;
• a bookkeeper or accountant for our administration;
• suppliers of tools we use on projects, where data is processed as part of that work.

Where parties process personal data on our instructions, we put a data processing agreement in place when needed. If data is processed outside the European Economic Area, we make sure appropriate safeguards are in place.

The website is deliberately simple. We only use functional and strictly necessary cookies, or similar techniques, that the site needs in order to work and stay secure. Those cookies do not require consent.

If you choose a language yourself, we store that choice in a functional cookie (wice-lang) on your device, so you see the same language next time. Without that choice, we set the language from the country of your connection: Dutch in the Netherlands, English everywhere else. We do not store that country.

If we ever start using analytics or tracking cookies, we will ask for your consent first and update this statement.

We take appropriate technical and organisational measures to protect your data against loss and unauthorised access, such as encrypted connections (HTTPS), limited access and reliable suppliers. If you think your data is not properly protected, contact us at info@wice.design.

Under the GDPR you have the right to:

• access your personal data;
• have inaccurate data corrected;
• have your data erased;
• restrict the processing or object to it;
• receive your data in a common format (data portability);
• withdraw consent you have given.

Want to use one of these rights? Email info@wice.design. We reply within four weeks. To prevent abuse, we may ask you to identify yourself.

If you disagree with how we handle your data, tell us and we will look for a solution together. You also have the right to lodge a complaint with the Autoriteit Persoonsgegevens, the Dutch data protection authority.

We may update this privacy policy from time to time, for example when our services or the law change. The current version is always on this page. If this English version differs from the Dutch version, the Dutch version prevails.
